Overview
The Bedroom Diary will show room allocations for a given week or two week view. The diary can be filtered in accordance with what the viewer is looking for (Block, Room Type, Attribute, etc)
Attendees allocated to rooms will be shown in a shaded color block that corresponds with the color designated for that Event's Status (Confirmed, Pending, Inquiry, etc).
The small green and red boxes will denote whether a guest has been checked in or out in the system:
Empty means the guest has yet to arrive
Check-Mark in green means the guest has checked in, is in-house or hasn't been checked out in Kx
Check-Mark in red means the guest has checked out
Move an Attendee Bedroom
A guest's room allocation can be easily edited from the Bedroom Diary. Since the visual layout will allow the user to view available slots for the attendee, it can be helpful for finding vacancies.
Click directly onto the Attendee block in the diary. It will then be highlighted by a red box:
Once the red box appears, there will be additional radio buttons on the right-hand navigation bar that are clickable. To change the attendee's room allocation, click Move Room
The Search for Vacant Rooms screen will appear (seen during Allocate Bedrooms). Locate the room you want to move the guest to, click on it to select, then press the Select button.
The Bedroom Diary will automatically refresh to reflect the changes made. (May take a few seconds)
Release an Attendee Bedroom
For various reasons, there may be the occasion to release an attendee bedroom allocation without deleting the person from the attendee list.
Click directly onto the Attendee block in the diary. It will then be highlighted by a red box:
Once the red box appears, there will be additional radio buttons on the right-hand navigation bar that are clickable. To change the attendee's room allocation, click Remove
Kx will double-check to see if this is actually the function intended. Click yes, if you mean to remove them from that bedroom
The Bedroom Diary will automatically refresh to reflect the changes made. (May take a few seconds)
The attendee will disappear from the Bedroom Diary once their allocation is removed, but they will remain in the Event Record rooming list, or on the B&B Guest Reservation
Bedroom Summary Details
Bedroom-specific information may be accessed via the Bedroom Diary for Room Audit purposes as needed.
Click on the name of the room to select it
Once selected, there will be additional radio buttons on the right-hand navigation bar that are clickable
Click the Summary button
Clicking this button will display a pop-up box with details about that room. Details include:
Future Bookings any future events that have attendees allocated to the room already
Room Facilities bedroom attributes that have been pre-set in Configuration
Room Audit comprehensive audit for the room based on a date-range. Includes check-in/out, bedrooms status changes, servicing, etc
Put Bedrooms Out of Service
Bedrooms may be put out of service from the Bedroom Diary as needed if there are certain maintenance issues that arise that cause rooms to be unusable for a period of time.
Click on the name of the room to select it
Once selected, there will be additional radio buttons on the right-hand navigation bar that are clickable
Click the Servicing button
The Residential Rooms Out of Service screen will appear. The room selected in the diary will be pre-selected in this screen:
Define a start date and end date for the servicing. The end date should be a date in the future when the room is expected to be usable again
Add notes to the Notes field. A brief description of why the room is offline is helpful when determining what rooms are unavailable and why
Once those details have been recorded, click Out of Service
The Bedroom Diary will automatically refresh to reflect the changes made. (May take a few seconds)
