Adding Linked Rooms to an Event
You can add a linked room in the following ways- add to new event, add one meeting room, add many meeting rooms, and add to existing event via the Conference Room Plan.
Any time you select a linked room you will get this screen:
The parent rooms are listed first with the appropriate child rooms that are linked to it indented below the parent room.
When you initially view the Meeting Room screen in the event, you will only see the parent room. In the screen shot below the child rooms are collapsed under the parent room.
To view the child room(s) hit the plus sign in the far right column. Once expanded the child rooms will show in grey with a chain link symbol in the far right column. See screen shot below.
Editing Linked Rooms
When editing a meeting room, select/highlight the parent room and select edit one or edit many. In order to edit the child rooms you must edit the parent room. You cannot edit an individual child room.
In the edit one screen you will see the parent room listed at the top along with the child rooms in a grid beside the parent room.
In the edit many screen you will only see the parent rooms listed. When you edit the parent room any changes made will also be applied to the child rooms.
Editing of a parent room will update all linked rooms to reflect the same data from the following, provided there is data populated for all fields. Start (date/time), end (date/time), set-up Start (date/time), Take down end (date/time) in use each day between, room status, Layout, room type, and capacity.
If the configured layout and/ or room type for any parent room matches the configured layout and/or room type for the child room(s), the layout and/or room type of the child room will be updated to match those of the parent room. If the configured layout and/ or room type for any parent room does not match the layout and/or room type of the child room, the child room layout and/or room type will remain unchanged.
If the capacity of the parent room exceeds the max capacity of a child room, the capacity of the child room will automatically adjust to its configured default maximum capacity and not be updated to match the capacity of the parent room.
Removing Linked Rooms
Removal of a parent room with links will force the removal of child rooms at the same time. Individual removal of child rooms is disabled.
When in the edit many window of the meeting rooms screen, you will only see the parent rooms listed
Changing of Room
When changing a parent room by using edit one > click the magnifying glass, once the new room has been selected, the conference room details screen will update to reflect the new room and, if the new room has links, the child rooms that are also booked will display to the right in a grid format.
When an existing room is swapped for a new room, the existing parent room and all child rooms will be removed and replaced with the new parent room and all linked child rooms.
Edit one, change room by using the magnifying glass, select the room, click select
UC 480-485 Combo is selected as the new room; it now shows you the links for UC 480-485 Combo.
After clicking OK, you are returned to the meeting rooms screen where you will see the new room. Click the + symbol to expand to view the child rooms also booked.
Copying an event
Copying an event will copy the parent rooms and the linked child rooms
Below is a screen shot of the original event being copied.
In the copy wizard you will see a list of all the rooms to be copied. Any rooms, parent or child, with a clash will show on this screen.
Once copy is complete you can edit if needed in newly created event.
Plan Views
All parent rooms will stay a solid color, child rooms will be hashed in plan tabs.
